Scope and our approach

This policy explains how OZ Ute Fitouts collects, holds, uses and discloses personal information. It applies to this website, product and fitment enquiries, quotes, orders, delivery or installation activity, after-sales support and other direct dealings with us.

We handle personal information in accordance with applicable Australian privacy law, including the Australian Privacy Principles where they apply. If you do not provide information that is reasonably required, we may not be able to answer an enquiry, confirm fitment, prepare a quote, process an order or arrange delivery or installation.

Information we collect

Depending on your interaction with us, we may collect:

  • your name, email address, telephone number, address, business or organisation and communication preferences;
  • vehicle make, model, year, series, cab or body style, registration or vehicle-identification details where needed, existing modifications, intended load and fitment requirements;
  • product selections, measurements, drawings, photographs, configuration choices, quote and order history, delivery or installation details and support or warranty information;
  • billing details, transaction records and payment status. Card and bank credentials are handled by the applicable payment provider or financial institution rather than intentionally stored in full by OZ Ute Fitouts;
  • account, enquiry and correspondence records, including messages, emails and notes of telephone or in-person discussions;
  • website and device information such as IP address, browser, approximate location, referring page, pages viewed, cart or session activity and cookie identifiers; and
  • marketing consent, unsubscribe requests and other preferences.

We collect information directly from you through website forms, accounts, orders, telephone, email and in-person dealings; automatically through the website and cookies; and from another person or service provider where you have authorised the disclosure or it is reasonably necessary for the transaction.

Why we collect and use information

We use personal information to:

  • respond to enquiries and recommend relevant product or fitment options;
  • verify vehicle details, payload assumptions, access needs and installation requirements;
  • prepare quotes, process and administer orders, take or reconcile payments, and arrange freight, collection or installation;
  • provide customer service, safety notices, product updates, returns, consumer-guarantee remedies and warranty support;
  • manage our inventory, suppliers, records, fraud and security controls, and legal or regulatory obligations;
  • operate, secure, diagnose and improve the website, catalogue and customer journey; and
  • send marketing where you have consented or where otherwise permitted, with a way to opt out.

We do not sell or rent personal information to data brokers.

Who we may disclose information to

We may disclose only the information reasonably needed to service providers and counterparties such as:

  • our website, ecommerce, hosting, cloud storage, email, communications, analytics and information-technology providers;
  • payment providers, banks and fraud-prevention services;
  • couriers, freight companies, installers, fabricators, suppliers and other parties involved in your quote, order or project;
  • professional advisers, insurers, auditors and debt-recovery providers; and
  • regulators, courts, law-enforcement bodies or other parties where disclosure is required or authorised by law, or reasonably necessary to protect safety, rights or property.

Where a photograph or case study could identify a customer, vehicle, registration plate, workplace or home, we will seek permission or take reasonable steps to de-identify it before promotional publication.

Overseas storage and processing

Some technology, cloud, communications, analytics and payment providers may store or process information outside Australia or make it accessible to support personnel in other countries. The countries involved can change with the provider and service configuration.

Where applicable, we take reasonable steps to use reputable providers and appropriate contractual, technical or organisational safeguards. Contact us if you want current information about likely overseas processing relevant to your interaction.

Cookies, analytics and external links

The website may use necessary cookies for security, language, login, cart and session functions, plus preference, measurement or marketing technologies where configured. These technologies may collect device and browsing information. You can control many cookies through your browser, although blocking necessary cookies may stop parts of the shop or account functions from working.

The website may link to third-party sites or services. Their privacy practices are governed by their own policies, not this policy.

Security and retention

We use reasonable administrative, technical and physical safeguards designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No online or storage method is completely secure, so please do not send payment-card details or unnecessary sensitive information through the fitment enquiry form.

We keep personal information for as long as reasonably needed for the purposes above, including order, tax, warranty, safety, dispute and legal recordkeeping. When information is no longer required, we take reasonable steps to delete it, destroy it or de-identify it, subject to backup and legal-retention requirements.

Access, correction and privacy complaints

You may ask to access or correct personal information we hold about you. Contact eaglefarm@ozuf.com.au or call 07 3219 6999. We may need to verify your identity and may refuse or limit access where permitted by law, in which case we will explain the reason where required.

If you believe we have mishandled personal information, please contact us with the relevant details. We will acknowledge and investigate the complaint and aim to respond within a reasonable period. If you are not satisfied and the Privacy Act applies, you may contact the Office of the Australian Information Commissioner.

We may update this policy when our practices or legal obligations change. The current version and last-updated date will be published on this page.
